Job Description

MMP Consultancy are looking to recruit a Corporate Services Officer on a permanent basis working for a Housing Association based in Harrow.

To be responsible for office management of head office, Acting as EA for the CEO and Senior Management team, taking minutes for board and committee meetings, supporting the board of management.

This will be on a permanent basis paying £28,000 per annum.

Responsibilities:

* Take and circulate high quality Committee and Board minutes
* Attendance at and coordination of Board and Committee meetings
* Assist in keeping policies, procedures, templates, guides and records up to date
* Provide administrative support in HR matters and data management
* Monitor and arrange mandatory staff training
* Take responsibility for day to day management of Head office premises to ensure that a safe and clean environment is available for team members
* Ensure office supplies are available for the head office team
* Assist in preparing rooms for meetings
* Ensure that visitors to the office are greeted in a professional manner.
* Provide support to the CEO in the form of diary management and administrative support
* Support the members of the Senior Management Team as required in administrative duties

Skills & Abilities:

* Good written skills and verbal skills and evidence of experience in administration or project management in a tenant engagement role
* Experience of working in an administrative role.
* Experience of minute taking, recording of meetings
* Ability to retain confidential information.
* Knowledge of office management
* Ability to communicate effectively with a variety of a people (i.e. in writing and verbally)
* Ability to keep accurate records, use GHHA databases, electronic communication methods and to write succinct and factual letters or other documents as required.

    • Assist in the provision of an efficient rent and service charge accounting service. Co-ordinate charging and collection of service charges ensuring Value for Money (VfM) whilst maximising the recovery of income including through legal processes where necessary
    • Provide highly accurate data analysis and supporting explanations to assist the Rent and Service Charge Manager in decision making
    • Be part of a team providing a pro-active and expert advisory service in relation to service charges, to service owners and budget holders, that adds value and impacts the strategic outcomes of the business

    Main Duties / Accountabilities:

    • Ensure accurate rent and service charge data, investigating and reporting variances
    • Maintain records of freeholders and third-party agents, validating invoices for accuracy.
    • Calculate budgets, rents, and accounts in compliance with policy and regulations.
    • Monitor sinking funds to ensure adequate funds for major works.
    • Collaborate with Property Services on planned and reactive works, adhering to processes.
    • Set service charge budgets for new schemes promptly.
    • Manage an efficient service charging system, meeting deadlines.
    • Prepare and manage relevant audits.
    • Assist the Revenue Team in resolving disputes and ensuring payment terms.
    • Champion Value for Money, monitor costs, and maximize income.

    Duties:

    Liaise with customers, arrange appointments, maintain relevant up to date progress on work being undertaken and dispatch information on completion of work

    Proficient IT skills including use of Microsoft Excel and Word Proven background in a customer service focused environment
